Guidelines for Puu Kahea Conference Center (PKCC) Please make a copy of this page and give to every guest. A. RETREAT PREPARATION 1. PKCC requires groups to send adult counselors (21 years old) with groups of young people under 18 years of age. If the groups include both boys and girls, a counselor of the same sex is required for each ten girls (or portion thereof) and for each ten boys (or portion thereof). 2. Counselors are responsible for informing their group participants of PKCC's policies and regulations and must maintain supervision of their group at ALL times. 3. Counselors will be required to live with the young people in the same accommodations and will be responsible for their group attending the scheduled conferences and programs. 4. No unregistered persons will be allowed on the campus; day visitors should register with the manager. 5. Groups must give PKCC a schedule of their planned activities two weeks prior to their meeting. B. GENERAL REGULATIONS 1. Groups will have one person who is the contact person designated as the Group Leader. This person will be responsible and liable for all damages to the property, clean up, and final payment. 2. Offensive language will not be tolerated. 3. Alcoholic beverages and illegal drugs are not permitted. Use or possession of alcoholic beverages or illegal drugs will result in the management confiscating illegal items and asking that the guest leave immediately. 4. Use of tobacco products is not allowed in any building or on the conference center grounds. 5. The manager will be notified immediately of any emergency or disturbance. 6.. Dances are not permitted. 7. Pets are not allowed. 8. Leaders should insist on good dress standards for their groups. Shirts and shoes must be worn in the dining area. 9. Radios and tape players are prohibited. Conference Center will not be responsible for lost or stolen items. 10. Fireworks and firearms are not permitted. 11. No bike riding, skateboarding, roller blades, scooters, or skating will be allowed. 12. Lost and found items will be kept in the manager's office for 30 days. C. BUILDING AND GROUNDS REGULATIONS 1. During scheduled meetings the gates are open from 6:00 am to 10:00 pm daily. Please plan to arrive and register before 10:00 pm. 2. Buildings and grounds are closed after 11:00 pm each night. The lights in the conference and service buildings will be turned out and the building locked at that time. Quiet time is from 11:00 pm until 8:00 am so that all guests at PKCC may enjoy a quiet and peaceful night of rest. Directors, sponsors, participants, and counselors are expected to cooperate with its enforcement. Guests should not leave the premises during their group's stay without specific approval of the group director. 3. Property around PKCC is private property and no trespassing is allowed. 4. Groups are asked to assist in turning off lights, water, and air conditioners (when not in the rooms). 5. Speed limit is five miles per hour on conference grounds. Please drive carefully and safely. 6. The manager and the conference center staff will make assignments as to the living quarters, conference space, and grounds that will be available for each meeting. When groups are scheduled simultaneously management will assign space in keeping with the needs of all. No tents are allowed. 7. Please show respect for the buildings, furnishings, and equipment. DO NOT move any furnishings or bedding without permission. Do not use dining tables for crafts. Other tables are available for craft use. 8. State and City laws prohibit ground fires except in designated areas. Wood for camp fire will be provided by the camp. Use of hibachis or grills must be approved by the conference staff and used directly on the ground-not in any building. 9. Group sponsors are financially responsible for damage to PKCC property. Statements covering such damage will be issued to the sponsoring institution for full payment. Full payment must be made before group leaves unless other arrangements are made with the manager. 10. Parking is allowed in designated parking areas only - Do not park on the lawn. Group will be responsible for damages to lawn and/or sprinkler systems. D. FOOD SERVICE 1. Meal times will be Breakfast - 8:00 am; Lunch - 12:00 pm; Dinner - 5:00 pm unless other arrangements have been made with the Manager. Please be on time for meals. 2. NO food or drink is permitted in the mail hall or dormitories. 3. Meal service will be provided for groups of 25 or more non Hawaii Pacific Baptist Convention (HPBC) 15 or more (HPBC). E. INSURANCE 1. PKCC carries an accident insurance policy on registered guests. No pre-existing conditions are covered. All accidents must be reported immediately to the management. 2. PKCC's insurance DOES NOT cover members of your group who leave the grounds during the time of your conference or those who are not registered as day visitors.
