Puu Kahea Conference Center (PKCC) Group leaders please read or make a copy of this page for each participant.
A. RETREAT PREPARATION
- PKCC requires groups to send adult counselors (21 years old) with groups of young people under 18 years of age. If the groups include both boys and girls, a counselor of the same sex is required for each ten girls (or portion thereof) and for each ten boys (or portion thereof).
- Counselors are responsible for informing their group participants of PKCC’s policies and regulations and must maintain supervision of their group at ALL times.
- Counselors will be required to live with the participants in the same accommodations and will be responsible for their group attending the scheduled conferences and programs.
- Groups must give PKCC a schedule of their planned activities two weeks prior to their meeting.
B. GENERAL REGULATIONS
- Groups will have one person who is the contact person designated as the Group Leader. This person will be responsible and liable for all damages to the property, clean up, and final payment.
- Offensive language will not be tolerated.
- Alcoholic beverages, illegal drugs and use of tobacco are not permitted. Use or possession of alcoholic beverages or illegal drugs will result in the management confiscating illegal items and asking that the guest leave immediately.
- The director will be notified immediately of any emergency or disturbance.
- Pets are not allowed.
- Leaders should insist on good dress standards for their groups. Shirts and shoes must be worn in the dining area.
- Conference Center will not be responsible for lost or stolen items.
- Fireworks and firearms are not permitted.
- No bike riding, skateboarding, roller blades, scooters, or skating will be allowed.
- Lost and found items will be kept in the director’s office for 30 days, then disposed of.
C. BUILDING AND GROUNDS REGULATIONS
- Codes for the gate will be provided upon registration.
- Quiet time is from 11:00 pm until 8:00 am so that all guests at PKCC may enjoy a quiet and peaceful night of rest. Directors, sponsors, participants, and counselors are expected to cooperate with its enforcement.
- Guests should not leave the premises during their group’s stay without specific approval of the group leader.
- Property around PKCC is private property and no trespassing is allowed.
- Groups are asked to assist in turning off lights, water, and air conditioners (when not in the rooms).
- Speed limit is five miles per hour on conference grounds. Please drive carefully and safely.
- The director and the conference center staff will make assignments as to the living quarters, conference space, and grounds that will be available for each meeting. When groups are scheduled simultaneously management will assign space in keeping with the needs of all.
- Please show respect for the buildings, furnishings, and equipment. If any furnishings or bedding is moved, it must be put back prior to leaving. Do not use dining tables for crafts without covering them for protection.
- State and City laws prohibit ground fires except in designated areas. Wood for campfire will be provided by PKCC.
- Use of hibachis or grills must be approved by the conference center staff and used on the grounds-not in any building.
- Group sponsors are financially responsible for damage to PKCC property. Statements covering such damage will be issued to the sponsoring institution for full payment. Full payment must be made before group leaves unless other arrangements are made with the directors.
- Parking is allowed in designated PARKING areas only – Do not park on the lawn. Group will be responsible for damages to lawn and/or sprinkler systems.
D. FOOD SERVICE
- Meal times: Breakfast – 8:00 am; Lunch – 12:00 pm; Dinner – 5:00 pm unless other arrangements have been made with the director. Please be on time for meals.
- Food and drink is permitted in building and rooms, you will need to keep covered/sealed and be responsible for damage.
- Meal service will be provided for groups of 25 or more for non Hawaii Pacific Baptist Convention (Non-HPBC) and 20 or more (HPBC) for groups of over 35 PKCC must provide food service.
